This Privacy Policy explains how SamKis Labs (“we”, “us”) handles personal information in Ednovum, our school-management platform. Schools using Ednovum are the controllers of their student and staff data; we act as a processor on their behalf.
1. Information we process
- Account data — name, email, role and school for each user login.
- School records — student, staff, enrolment, attendance, grade, assessment, finance and lesson-plan information entered by the school.
- Usage data — basic technical logs (e.g. sign-in times) used to operate and secure the service.
2. How we use information
- to provide and maintain the Ednovum service to your school;
- to authenticate users and enforce role-based access;
- to secure the service and investigate misuse;
- to provide support and communicate with you.
3. Lawful basis
We process personal data to perform our agreement with the school and for our legitimate interest in operating a secure, reliable service. Schools are responsible for the lawful basis on which they collect and use the student and staff data they enter.
4. Sharing
We do not sell personal data. We share it only with service providers who help us run the platform (for example, secure cloud hosting and email delivery), under appropriate confidentiality and data- protection obligations, and where required by law.
5. Security
We protect data with measures including encryption in transit, role-based access control, row-level security in the database, and least-privilege access for our systems. No method of transmission or storage is completely secure, but we work to protect your information.
6. Retention
We retain school data for as long as the school uses the service, and afterward only as needed to meet legal obligations or as agreed with the school. Schools may request export or deletion of their data subject to those obligations.
7. Children’s data
Ednovumprocesses information about students, including children, on behalf of the school. The school determines what is collected and why; we process it only to provide the service and under the school’s instructions.
8. Your rights
Individuals may have rights to access, correct or delete their personal data. As we act on behalf of schools, please direct such requests to your school; we will support the school in responding.
9. Cookies & sessions
We use strictly necessary cookies to keep you signed in and to operate the service securely. We do not use advertising cookies.
10. Changes
We may update this Policy from time to time. Material changes will be notified through the service or by email.
